Access, Audit & Data Protection
Staff see only what their job needs, and you can always tell who looked at or changed a record. Member data is hosted in Singapore on AWS, in a separate database for each customer.
- Built-in roles (Administrator, Membership, Finance, Management, Committee, Door staff) and custom roles
- Restricted fields, such as NRIC, hidden from roles that don't need them, and every reveal logged
- A log of who viewed or changed each member's record, with before-and-after values
- Staff sign in with a password and an authenticator-app code; sessions can be revoked
- Full data export as CSV files in a ZIP, and imports with a dry run first

One record per member holds their details, membership periods and a timeline of every change — joining, renewal, tier change, suspension, resignation and rejoining.

Connect your Xero organisation once and map your chart of accounts on one screen. From then on, MemberGuard sends its records to Xero so nobody re-keys them.
- Each invoiced member becomes a Xero contact
- Invoices, payments, credit notes and refunds keep MemberGuard's numbers in Xero

Digital Membership Cards
Each member's card shows your logo and colours, their photo, tier and expiry date, and a QR code that changes about every 30 seconds, so a screenshot soon stops working.
- Your logo, colours, card title and chosen fields on the card
- A door scanner that shows the member's photo and whether they are in good standing
- Optional Apple Wallet and Google Wallet passes, switched on per organisation
- Wallet passes carry a fixed code checked online and can be revoked; the in-app card is stronger against sharing

Member Documents

Automated Emails
MemberGuard sends the emails membership runs on: renewal and payment reminders, invoices and receipts, application decisions, and event tickets. It does not send newsletters or marketing campaigns.
